What I'm going to do is we're going to kind of talk through some of the some of the options that now exist to you, and some of the functionality that is now available to you. And then we're actually going to dive right into Slate and and we'll we'll build some things out. I want to be able to kind of see this live and in action now. Alright, so let's just say.
What you can do?
Is now within active schedule. You can create availability windows. OK, so if you wanted to schedule your availability, let's say from 9 to 12.

On Mondays, Wednesdays and Fridays, you have the ability to do that via this new tool active scheduler. You can override individual availability windows, so let's say you typically are available from 9 to 12 for half hour appointments every Monday and Friday, but your child or something like that has the day off of school on Friday and you want to be able to take that day off, but you don't want to override your entire schedule, you actually have the ability to kind of ad hoc.

Alright, and you can do that ad hoc as you see fit. What this ultimately does is create time slots for your availability and you know some of you may be on here, but then, well, does scheduler does that right? And yes, that that's absolutely true, and we'll we'll get into some of the nuances and differences between schedule or an active schedule in just a moment, but it's what it's going to do is to create time slots.
External appointments via your I Cal feeds will display as busy so that is to say if you have LinkedIn external calendar, let's say it's an outlook or a Gmail calendar.
Will display as busy or you won't be able to have that availability show inside of your schedule or availability.

What it does? It's like I said slightly different than than schedule. Or is it automatically allocates time slots for your availability, right? So what it will automatically do is create individual timeslots as you see fit based off of kind of basic settings to say oh Monday, Wednesday and Friday from 9 to 12 you said you're available in what frequency, or what time slots would you like to have the frequency occur for these individual time slots and you can say I want 30 minutes OK and then it's going to automatically allocate.

Alright, you can also control the ability for students or students for whomever the registrants are for these events, or for these appointments. It's controlled consecutive signups, so perhaps you say I want to be available in every available appointments every 15 minutes from that 9 to 12 window on Monday, Wednesday, and Friday, but I kind of want to have a little buffer in between when students excuse me when they register and sign up for one of these events if one of them.
Signs up, let's say for the 9:00 o'clock event, but I also had a 9:15 appointment available.

But I can't be. I can't be available anymore for that 9:15 appointment. It will automatically, you know, block that out for you. It would also give you a buffer of some. But let's say you had a 30 minute time slot window from 9:00 to 9:30, but you wanted to have a 15 minute buffer in between the next appointment that somebody could sign up for the next time slot that somebody could sign up for. You can structure it so that it's 15 minutes after the ending of your first meeting.

What's the difference between this active schedule or you might not have used either of these or any of these tools yet. You might be new to Slate, and that's OK, so I did want to take just a moment. If you get this already, just humor me because this is important to kind of make clear, so an event in Slate, right? We've got those two icons to the farther right up on the slate big ribbon features.
Events is kind of the first one or the one that's the furthest left, and events allow essentially multiple registrants by way of a form submission, right? So a form a student or a registrant signs up by filling out a form and saying I'm interested in that event, attending that event and event allows you to have more than one registrant, right scheduler and active scheduler are by definition events, but they just have this this little nuanced rule that says they have a registrant limit.
Of one, so these two Tools act schedule or an active schedule really just kind of all the scheduler tool are good for one on one individual appointments, so if you're interested in an event where you want more than one registrant, you would create an event. If you're interested in appointments or interviews or time slots where it is very one on one, a limit of 1 per event, one registrant per event, then we're really going to be talking about.

Is this feasible for larger universities?
Scheduler or active scheduler scheduler is structured to make individual appointments, which are events from a standardized template and you can build them out kind of one by one ad hoc right? So let's take that same use case where you say I need to be available from 9 to 12 on Monday, Wednesday and Friday for in the scheduler structure you airing the settings you would have to create those individual appointments at 199 thirty ten. 10:30 so on and so forth. There is a kind of a making things in batch tool in the scheduler.
But but you'd have to create those out.

@jesse OSU-OKC just updated our scheduler template to allow students to choose how they want to meet with our advisors- virtual, in-person, phone. :)
Alright, active scheduler will allow the blocking of availability as I described. Then auto generating time slots via those basic settings in active scheduler. So for that 9 to 12 availability window that you may be interested in right? Once you create those settings and basically you just say I want the individual time intervals individual timeslots to last 30 minutes and the interval in between when they can, students can sign up for more when registrants.
Sign up forms might keep making that mistake.

Active scheduler and scheduler are aware of each others kind of availability. OK, so if you have, there's nothing stopping you from continuing to use scheduler for some tools for some processes or some appointments and active scheduler inactive schedule for kind of two different types of appointments are two different types of time slots. They will all kind of be aware and are reductive of one another, so if you were to say I have a scheduler.

@Enrico- when setting up an Active Schedule, you can select a scheduler template that is associated with an external service that you will be hosting the session through.
Appointment that I have structured somewhere in between that nine to twelve option on a Monday, but I have also created my schedule active scheduler availability from 9 to 12 on Monday scheduler and active scheduler will be able to talk to each other and active scheduler will say Nope. Just kidding. There is already a scheduled meeting on your slate calendar for somewhere in between that time frame and it will allow able to actually take that away as an option.

However, one caveat, the bidirectional frequency of of when those two kind of converse the data conversations are happening is that the level of frequency is higher for active scheduler. In your Google Calendar or outlook would take not a whole lot of time at all before it actually talks to your slate calendar and adjusts appropriately inside of slave for your for your active schedule or availability. A good question came in and somebody answered it, but it's worth reiterating this active scheduler tool is already available in production environments. I'll walk through where to.
Access to early access features in your database configuration, but if you wanted to start using this or explore or maybe test it a little bit, it's already available to you in your production environment. You just have to make a configuration switch in your database to make it kind of live in your in your.

What you're basically saying is Mondays from 9 to 11. Excuse me. 9:00 to 12:00 PM and then from 3:00 to 4:30 PM if you're kind of opening that window availability for the system alright, which is great. You can continue to add times you can delete. You can copy your schedule if I say Tuesday looks an awful lot like Monday, in fact.

Uhm or unavailable right with some type of different availability. It will adhere to that over here and say OK great. You kind of said that over here, but I'm going to assume that you know you're still going to be available for that. It's going to override even though it already exists that same similar start time or time slot. It's just going to ignore all of these settings, even though these two things are the same. However, let's say there is some type of redundancy here on this side, when maybe I forget that I already put in my availability.
For that day.
So it's going to tell me and say hey, wait a minute look, you already put that in or there's some type of overlapping that's going to kind of block me, or at least show me this. This warning to trigger me to say Oh well, you know this this block overlaps with another time block that you've already scheduled, so it's not going to allow you to kind of move forward with that redundancy.

That's how it's going to appear. If nobody has scheduled anything for for any of those signups yet, allowing consecutive signups selecting this option here will allow the scheduling of consecutive appointments appointments that abut that are right next to one another that about one another. For example, one person could schedule a half hour session for 9:00 o'clock in my 9 to 12 example, and another could schedule a half hour session for 9:30.

It prevents the users from scheduling sessions that are about over. You know that are about each other. If you want some type of interval right, you would kind of pick that option to say I want maybe in at least 15 minute window of time to in between the start of one appointment and the start of another appointment overlapping sessions. Justin, that's a great idea! Like a confirmation email that pushes out to the staff assigned to the template, which includes the iCal invite.
Occurring so an eight 8:30 to 9:00 appointment and an appointment from 8:45 to 9:15 would never be allowed to be scheduled. Slate will prevent that from happening, so let's I'm sorry, let's keep the 9 to 12 for. For consistency sake, let's keep the 9 to 12 availability window. Could the user in this widget be set dynamically using parameters passed from the view query? Suppose I didn't want to create a portal manually for each staff member but just procedurally generate one using info from the user tables, It would be really useful to be able to pass the user parameter from the query in this use case.

After the static content block is set up and named you will set the display target in the widget set up to "add to static content : Name Here" Ken is discussing this now.
And then we've got our schedule or display here. OK, so the display target we are actually going to set this it you have the option. You can have it structured so that the available schedule, the schedule available appointments show up below the calendar and we'll see what it looks like here in a moment. But you also have the ability to call out a particular part of our portal here to say no. I want to add.

If no one else has done it already, I'll creat a feedback suggestion to move all of the options not related directly to Portals into the Scheduler interface, if that would be possible. It seems less intuitive and more problematic, permissions-wise, as built, with all due respect to those who worked on a nice new feature.
It's going to automatically create those time slots and allocate those time slots based on your availability and those settings that we structured in the portal and the portal widget where it shows the duration and then the start time frequency and you have the ability to control or toggle or enable consecutive signups. So if you wanted to have a break or an interval of time.
Between the start or the end of one appointment and the start of another, you have control over that as well.

Scheduler works for us, except we want the claimed or registered appointment to write to the outlook calendar of the user associated with the appointment. OK, so that that's a possibility. So scheduled somebody mentioned hey scheduler works from us except we want the busy slots or the claimed or registered appointments to write back to the outlook calendar. You will need to send. You'll actually want to subscribe to your I Cal feed to see your availability in outlook. It will not actively right.

Re-asking: Could the user in this widget be set dynamically using parameters passed from the view query? Suppose I didn't want to create a portal manually for each staff member but just procedurally generate one using info from the user tables, It would be really useful to be able to pass the user parameter from the query in this use case.

Can I administrate for someone elses calendar, for example, my director requires interviews with him as part of our admission process, but he's not very tech savvy, so anytime I can take some of that off his plate, that's helpful. The way that currently exists is you would need to impersonate someone to update their schedule. So for example, you would need to impers. In your example there you would need to impersonate your director in order to administrate that users calendar, OK?

What if we create several time slots for the week and need to delete them? Can we batch delete great questions? You know this kind of function of batch deleting scheduler or active scheduler right? There is not currently a batch deletion option, but that would be a great feedback idea, right?

Ah, does actives OK? So this is a really good one. Does active scheduler allow us to promote multiple slots for a single event on a landing page? So if we have events every 30 minutes from noon to two rather than four links, we could provide prospects one link and they would go to the landing page to select the option they want. That's true as slots are reserved, those links disappear as options for those visiting that is absolutely correct. If you pick that one day, it would show all the available time slots for that day. So yes.

@Margarita- yes, at this time it is intended to have the user themselves set up their active schedule. However, we have already gathered feedback that folks want to be able to create them on behalf of others. We are working on that and will be asking for some feedback on how that might look.
